Checking out Devices (secondary)

There is no student use agreement for the 2019-2020 school year required for a student to receive a device. 

 

  • Devices must NOT be checked out to students before they return to school. 
  • Devices should be checked out directly to a student by scanning their OneCard and then their device. (See directions (written - video) to create Device Distribution Tickets that include the student barcode.
  • All devices should be checked out to students by September 10, 2019. 

 

 

Optional Pre-Distribution Step:

  • All new inventory should be checked into the school's Destiny container.

          Using the Item Status feature (Resource View>Circulation> Item Status, scan each device, and accept the transfer of the device from Pre-Inventory to your school's container. 

          

 

     Prior to check out: 

 

 

  • Prepare a tag or ID card for use with the case that will be issued to the students. (OPTIONAL)

 

  • Consider space requirements based on the size of groups that you anticipate.  You may want to use the Library Media Center, or other large space since there will be several dozen students in some stations at a time.

 

  •  Prior to device distribution issue the paperwork that must be signed. (Student Use Agreement) this signed paperwork MUST be returned by the date devices will be issued to students.
    • This could be sent home in summer mailing.
    • Can also be part of the parent information meeting.

 

 

On Checkout day:

 

  •  Students should be brought to the checkout area in groups.
    • Only students who have their required paperwork should come to the checkout area.
    • All students should bring their OneCard if possible.

 

  • Students will rotate through stations to complete the required process.
    • Station 1: Paperwork check. No Student Agreements are needed but make sure each student has either their One Card or a paper with their barcode on it. 
    • Station 2: Device pick-up and scanning.
      • Each station should have a scanner, computer, and a user logged into Destiny with device check out rights 
      • Destiny user will be in Resource View>Circulation>Check Out-To Patron  (Click HERE for Directions.)
      • Destiny user will scan student's OneCard (or type in the name if needed), and then scan the device to check out to them.  Make sure to confirm that checkout has occurred in Destiny before sending the student to next station.
      • Students are provided a device from the storage boxes. Students do not need to get the same device they had in previous years. 
    • Station 3: Name label is applied to the device by staff.
    • Station 4: Student receives bag and charger, along with card/luggage tag to mark case.

After all student devices are checked out run the Class List Report for Student Checkouts. Confirm that students only have one device assigned and that no one was missed.

 

Submit the Creating and Asset Report for HP Revolves by the due date specified.

 

For new enrollees AFTER school wide check out:

  • Issue paperwork to be signed on the same day student is entered in the BCPS SIS. If possible conduct parent orientation at enrollment.
  • The next day (or the first day of school), the student returns paperwork and has device issued.
  • At that point, a device from Secure Storage (if available) should be assigned to the student.
  • If no device is available, notify TSS (Brad Potter - bpotter@bcps.org) of need.
